Agapanthus Guest House takes its guests’ personal data very seriously. This policy details what we collect, why, and how it is securely stored.
1. What we collect
We collect the following information from guests who book a stay at the guest house via our website:
- Email address
- Phone number
2. What we do not collect
- Payment card details
- Home address
We do not collect your payment details or billing address details for payments made via our website. This information is collected via our payment gateway provider, Stripe (see section 5).
When we collect payment at the guest house, we use a card machine which is operated by WorldPay (see section 5).
3. How we use the information we hold
We use your email address to send you confirmation of the booking. We will not use your telephone number to contact you unless it is for an emergency and/or we have been unable to contact you via email.
We do not use your information for any other purpose, nor do we share it with any other party unless required to by law.
4. How your data is stored
All of the personal data you supply us (in section 1) as part of the booking process is securely stored on our web server and computer, to which access is only possible by the owners of the guest house, Sally and Tony Stokes.
Merchant receipts, which are produced by the card machine when processing payments in the guest house, are stored securely by us in a locked cabinet, solely for accounting purposes.
5. Payment and address details
As part of the booking process, guests are required to provide their billing address and card payment details to pay the deposit required to secure the room. We use a third-party payment gateway called Stripe to process all payments online. We do not receive this information.
When guests arrive, we take the remaining balance due by credit or debit card using a card machine. These details are sent via WorldPay, who process the payment. A print out receipt is provided to the guest, and a merchant receipt is retained by us for accounting purposes.
6. Booking via third parties
We may list our rooms on third party sites such as Booking.com. When bookings are made via websites like this, their respective privacy policies apply.
Agapanthus Guest House receives only the name and contact details of the guest, in addition to the dates of their stay. All other information, including payment details, are not shared with us and are processed by the third party. Please refer to the privacy policies of these websites before booking.
7. Access to your information
You have the right to request a copy of the information we hold about you. If you would like a copy of this information please email us at firstname.lastname@example.org.
